Reports to:               VP, Strategic Initiatives

Status:                      Full-time, Term

Term:                           June, 2021 – March, 2022 with the possibility of extension

Location:                   RHF Office in Richmond, BC (temporarily remote)

JOB SUMMARY

The Sr. Executive Coordinator, Strategic Initiatives is responsible for providing executive support to the VP, Strategic Initiatives.

 

WORKING RELATIONSHIPS

This position reports to the VP, Strategic Initiatives, and works very closely with other key stakeholders within and outside of the Foundation.

 

ALL STAFF: KEY ACCOUNTABILITIES

As an integral member of the RHF team and as expected of all staff, this position actively participates with:

  • Strategy
  • Organizational Culture
    • Contributes in regular sessions, develops goals, supports and implements action plans.

 

KEY ACCOUNTABILITIES

  • Acts as conduit for information between VP, Strategic Initiatives and teams under the VP’s purview. Also serves as a conduit for staff requiring information and/or meetings with the VP.
  • Develops biographies, backgrounders, and contact information;
  • Drafts briefing notes, correspondence, reports, and presentations;
  • Maintains a bring forward system for VP, Strategic Initiatives and captures reporting requirements to CEO, Founder and Board;
  • Manages and maintains oversight of executive schedule and meetings. Includes handling logistics for unit meetings as well as preparing and distributing agendas, materials and minutes;
  • Manages and maintains oversight of VP’s external committee obligations. Serves as a liaison with external group leaders as required.
  • Develops internal procedures and processes, and maintains all contacts and information in Salesforce;
  • Maintains Sharepoint’s folders ensuring that briefing materials, meeting notes and other records are entered and folders are up-to-date;
  • Prepares expense claims, purchase orders, and contract approval forms;
  • Develops and implements office systems to support efficient office operations. Updates and maintains electronic files/records;
  • Assists with Senior Leadership Team, Strategy Group and All Staff meetings as needed;
  • Works on special projects as required;
  • Manages packages and correspondence with Advisory Committees. Includes serving as a liaison with committee members, scheduling committee meetings and meetings for the VP and Chair, RHFAC Advisory Committee;
  • Serves as back-up coverage as required;
  • Maintains the highest level of accountability, confidentiality, disclosure and discretion; and
  • Performs other related duties in keeping with the purpose and accountabilities of the job.

 

QUALIFICATIONS

Education: University degree in a related field or an equivalent combination of education and experience. Minimum

Certification/Designations: None

 

Experience/Knowledge:

  • Minimum 6 years of experience in a related field with proven experience with supporting a senior executive;
  • Computer experience required including MS Outlook, Word, Excel, and PowerPoint;
  • Experience with SalesForce, SharePoint and databases an asset; and
  • Knowledge of issues and information relating to people with disabilities an asset.
